CAA Reporting in the HES Frequently Asked Questions: General Information
What are the submission dates for the CAA Annual Report?
Annual Reports to the Council on Academic Accreditation in Audiology and Speech-Language Pathology (CAA) are due February 1 for programs with an accreditation cycle date in November, December, January, February, March or April; the deadline is August 1 for programs with an accreditation cycle date in May, June, July, August, September or October. The expectations are the same for submitting Accreditation Applications. Your program's current accreditation cycle dates also may be viewed in the program's profile in EdFind.
What are the submission dates for the CAA Accreditation Application?
Applications for (re)accreditation are due February 1 for programs with an accreditation anniversary date in November, December, January, February, March or April; the deadline is August 1 for programs with an accreditation cycle date in May, June, July, August, September or October. The expectations are the same for submitting Annual Reports.
When do I submit an Accreditation Application for initial accreditation?
Programs that do not currently hold an accredited status (Candidacy or Accredited), but have students enrolled in the program, must provide a Notice of Intent to the accreditation office no later than September 1 for a February 1 submission or March 1 for an August 1 submission. Written notification should be sent to email@example.com.
Do I submit my Candidacy Application using the online format of the HES?
No. Candidacy applications are not submitted using the online format of the HES. New developing programs with no students enrolled must apply using the Application for Candidacy Status [DOC]. Details regarding submission, compliance expectations, and timelines are provided in the Accreditation Handbook—see Chapter XVI, "Procedures for Achievement and Maintenance of a Candidacy Status."
When can I access the online CAA report in the HES to enter my program's data?
For CAA reports due on February 1, you will be able to access the system beginning the first week in October. For CAA reports due August 1 you will be able to access the system the first week in April. However, data collection forms are available on the CAA's webpages to assist you in your planning and data collection efforts prior to entering data into the HES. An e-mail notification will be sent to all program directors announcing access to the HES and will include important details about how to access the system and expectations for completing your CAA report.
How long will it take to complete my online report?
The amount of time required to complete your CAA report is dependent on the type of report you are completing (Accreditation Application or Annual Report) and the amount of faculty and staff support used to contribute to the completion of the report. You are provided a 4-month time period to submit your report, regardless of the type of report to be completed. When you access your CAA report (Annual Report or Accreditation Application) in the HES, some information will be prepopulated from prior online report submissions. For example, information will be prepopulated to the program description section, faculty details, course details, and student achievement data (graduation rates, Praxis pass rates, employment rates). The program is expected to review this prepopulated data and provide updates as needed to demonstrate compliance with accreditation standards.
The Accreditation Application is a comprehensive report that is submitted every 5–8 years depending on your program's accreditation cycle; the report addresses each aspect of the accreditation standards. It is the product of your program's initiative to complete a comprehensive self-study. You should plan to initiate documentation to your Accreditation Application shortly after you have been granted access to the HES. Data collection forms are available on the website to assist programs in gathering and organizing data to be entered in the HES.
The Annual Report is an abbreviated report, submitted annually, which documents the program's progress in addressing prior concerns and changes since the last reporting period. Although your program is expected to begin addressing concerns regarding compliance with accreditation standards immediately, you will document the steps that were taken to address any concerns and improvements achieved when you complete the Annual Report. Typically, the Annual Report takes less time to complete than an Accreditation Application.
How do I report my program's data when the most recently completed academic year for my program is different from what is defined in the HES?
In general, the HES designates the "most recently completed academic year" as August through July for CAA reports. If you are submitting a report that is due August 1 and your academic year does not end until a time after the submission date, you should report data based on the most recently completed academic year as it is defined by your program. For example, if you are submitting a report on August 1, 2013 and your academic year does not end until September 1, 2013, you should report data for faculty experiences, Praxis pass rates, graduation rates, or employment rates based on the 2011–2012, 2010–2011, and 2009–2010 academic years because your academic year 2012–2013 was not completed at the time of the report.
