Frequently Asked Questions: CAA Reporting in the HES
General Information
What are the submission dates for the CAA Annual Report?
Annual Reports to the Council on Academic Accreditation in Audiology and Speech-Language Pathology (CAA) are due on February 1 for programs with an accreditation anniversary date in November, December, January, February, March or April, and on August 1 for programs with an accreditation anniversary date in May, June, July, August, September or October. For detailed information about the submission dates, please see Annual Report Submission Timelines; the expectations are the same for submitting Accreditation Applications.
What are the submission dates for the CAA Accreditation Application?
Applications for Accreditation are due on February 1 for programs with an accreditation anniversary date in November, December, January, February, March or April, and on August 1 for programs with an accreditation anniversary date in May, June, July, August, September or October. The expectations are the same for submitting Annual Reports.
Can I submit my CAA Annual Report or Accreditation Application using a paper form instead of the online format via the HES?
The Annual Report and Accreditation Application must be submitted only using the online format via the Higher Education Data System (HES). When submitting your program's information to the CAA via the HES, all information documenting your program's compliance with accreditation standards must be submitted in this format. No separate appendices will be accepted.
When can I access the online CAA report in the HES to enter my program's data?
For CAA reports due on February 1, you will be able to access the system beginning around October 1. For CAA reports due on August 1 you will be able to access the system beginning around April 1. However, data collection forms are available on the CAA's Web pages to assist you in your planning and data collection efforts prior to entering data into the HES.
Will data already be prepopulated to my CAA report?
Yes. When you access your CAA report (Annual Report or Accreditation Application) in the HES, some information will be prepopulated. The first time you access your report, the Program Description section and the Total Faculty List, which is used to select the names of the faculty for whom you will report data for Standard 2.1 (Faculty Qualifications) and Standard 2.2 (Faculty Sufficiency), will contain prepopulated data.
Once you have completed and submitted your first CAA report via the HES, information about faculty, curriculum, and clinical sites also will be prepopulated in future reports. The program is expected to review the prepopulated data and provide updates as needed to demonstrate compliance with accreditation standards.
Why aren't data from last year's paper report to the CAA, submitted 2008–2009, prepopulated through the HES?
Reporting to the CAA online via HES is beginning in 2009-2010. Faculty names at your program will not be available to prepopulate the CAA reports in the HES until after the reports are filed during this period. When completing your report for the first time in the HES, we recommend that you reference your copy of your last CAA report and utilize the data collection forms as starting points to gather data.
The CAA requests data for faculty experiences from the past 3 years (i.e., information typically found on vitae). Which 3 years should I consider?
When completing your report in the HES, you should include information for the past 3 years beginning with the most recently completed academic year and counting back 2 years. For example, if your report is due in February 2010, you would report data for the completed academic years 2008–2009, 2007–2008, and 2006-2007.
How do I report my program's data when the most recently completed academic year for my program is different than what is defined in the HES?
In general, the HES designates the "most recently completed academic year" as August through July for CAA reports. If you are submitting a report that is due August 1 and your academic year does not end until a time after the submission date, you should report data based on the most recently completed academic year as it is defined by your program. For example, if you are submitting a report on August 1, 2010 and your academic year does not end until September 1, 2010, you should report data for faculty experiences, Praxis pass rates, graduation rates, or employment rates based on the 2008–2009, 2007–2008, and 2006–2007 academic years because your academic year 2009–2010 was not completed at the time of the report.
