Convention Hotel Reservations
Philadelphia is breaking registration records, but as a result, the official ASHA hotels are currently sold out. We continue to seek out safe and reasonable housing options and alternatives to support attendee participation.
A wait list has been set up to add your name if a room becomes available. (Single night or shorter stay options may be available, so check your dates in the system first as it may be possible to make a confirmed reservation.) To be added to the wait list, please proceed through the online reservation system. Then, select the "Add to Waitlist" hotel option and enter your complete reservation information including the best phone number and e-mail address where you may be reached, along with a valid credit card number. The wait list does not guarantee a reservation, however, it is the best option to secure a hotel room for Convention. Guests on the wait list will be contacted by the ASHA housing center if a hotel room becomes available.
If you need assistance with reservations, call our housing provider at 877-585-6005. You may also e-mail [email protected] for questions about hotels. Customer service hours are 8:30 a.m.–5 p.m., Eastern Time, Monday–Friday.
Other Housing Options
If you still need a hotel room, consider these resources:
- Popular travel websites
- Rental by owner sites
- Hotels outside the downtown area
- Corporate travel resources provided by your company
In addition, Discover Philadelphia provides a list of area hotels and other lodging with contact information on their website. There may be smaller, independent properties with availability near official ASHA hotels, or other options farther out in the city.
We are limited in our ability to support you at any hotels outside the official ASHA block, but will provide assistance as we are able. If you decide to seek an independent reservation, be sure to understand the cancellation policy. We encourage you to act cautiously and check references if opting for private rental by owner options.
If you are able to book a room near one of the official ASHA hotels through another source, you are, of course, welcome to take advantage of the free shuttle service with your ASHA badge.
Looking for a Roommate?
A Roommate Forum is available for ASHA members to connect with others who are looking for a hotel room to share and/or a roommate. The Roommate Forum is on ASHA's Community site, which is accessible to ASHA and NSSLHA members, as well as International Affiliates and ASHA Associates. Learn more about ASHA membership.
Official ASHA Hotels: Rates and Maps
The resources below are available to help you select a hotel:
Room types and rollaway bed requests are not guaranteed by the hotels. Taxes and fees are subject to change. Some hotels may charge an early departure fee. Read more about cancellations or changes to reservations.
Customer service is available by phone at 877-585-6005 or by e-mail at [email protected] for questions about housing. Customer service hours are 8:30 a.m.–5 p.m., Eastern Time, Monday–Friday.
Many of the hotels in Philadelphia are walkable from the Pennsylvania Convention Center. Limited complimentary shuttle service will be provided from November 17–19 for attendees staying at ASHA hotels not within close proximity of the convention center. ADA-accessible shuttle service will be available for all ASHA hotels for those with mobility issues. The shuttle routes and schedule will be posted in October.
ADA Hotel Rooms
All official ASHA Convention hotels comply with the Americans with Disabilities Act. If you need an accessible hotel room, please complete the reservations process online and select "Handicap Accessible" at the step where you may indicate room preferences. A representative from ASHA's housing company will contact you to discuss your room arrangements. Members are also welcome to contact Customer Service by e-mail at [email protected] or by phone at 877-585-6005 or 703-449-6418 if they wish to discuss their needs with someone directly.
You will receive an acknowledgement of your reservation via e-mail. Please print or save the acknowledgement for your records. This is the only acknowledgement you will receive. If you have questions regarding your reservation or if you do not receive an e-mail acknowledgement, please contact the ASHA Registration and Housing Center at [email protected] or 877-585-6005 or 703-449-6418.
Cancellations or Changes to Reservations
All changes and cancellations must be submitted online or in writing via e-mail to [email protected] by 11:59 p.m., Eastern Time, Wednesday, October 26, 2016. After this date, you must contact your hotel directly. If you need to cancel your reservation(s), you must do so at least seventy-two (72) hours prior to your scheduled check-in date. If you do not cancel your reservation(s) seventy-two (72) hours prior to your scheduled check-in date, your first night's deposit will not be refunded.
Cancelling your hotel reservation does not automatically cancel your ASHA Convention registration. To cancel your registration, please contact [email protected] no later than November 1, 2016.
If you are reserving a room online and find that a hotel appears to be sold out, it may be that rooms are not available for the entire range of dates you have selected. This sometimes happens when attendees try to arrive early in the week or stay later after the Convention has concluded. You may wish to try adjusting your dates to see if the other dates you need are available at your desired hotel. If they are, you can make a reservation for the available dates and e-mail [email protected] with your reservation number and the additional dates requested. Or if you would like to speak with someone directly, you may call Customer Service at 877-585-6005 or 703-449-6418.
Wait Listing a Hotel
Attendees also have the option of adding their name to a wait list if a first choice hotel is no longer available for their selected dates. In order to be added to a hotel's wait list, you must make a valid reservation at an available hotel for your desired dates. You will be notified if a room becomes available at your first choice hotel.
Why Book a Room Through ASHA?
In addition to the many benefits to booking a hotel room within the ASHA block for both members and the association, staying at an ASHA hotel allows you to take advantage of our convenient shuttle service.
Unauthorized Housing Providers
Sometimes, ASHA is alerted that an unauthorized housing company is contacting our exhibitors or attendees to inform them that they can offer less expensive room rates at hotels in our block. Spargo, Inc. is the only official housing company for ASHA. If you receive a call or e-mail from any company that is not our official housing provider, please contact us immediately at [email protected].
