Step Three: Enter Survey Data

Organization of the Survey

Survey questions are organized by sections and areas of study (as viewed on the "Status" page [PDF]). The areas of study that appear in the survey are determined by the degree programs offered at the institution.

Survey Sections: Program Description, Curriculum, Admissions, Enrollment, Graduation, Employment, Funding, and Faculty

Areas of Study: Audiology, Speech-Language Pathology and Speech and Hearing Science

Data Entry

  • Data entry may be completed in one or more sessions over the course of the open survey period identified on the HES instrument dashboard.
  • The completion status of survey sections is featured on the left hand navigation menu on each page of the survey and shows the status as: Red=Not started, Yellow=Incomplete, Green=Completed.
  • Save entered data often by clicking on the "Save and Stay Here" button.
  • To move to the next page in the survey, click on the "Save and Next Page" button.
  • The HES allows you to save incomplete survey pages.
  • If you feel that a survey page is complete but the status remains "yellow" save your page then click on "Check Page Completion" and any incomplete questions will be highlighted for you. Data must be saved before you can use the "Check Page Completion" function.
  • After an idle period of 40 minutes or more within an open survey, the HES system times out, thus requiring you to log in again. Any unsaved data will be lost.
  • You may find data already populating some sections of the survey as they may have been pre-populated from previous HES surveys. Review and verify the accuracy of pre-populated data.
  • Tables with pre-populated data, and/or system generated totals require a confirmation check mark [PDF] located in the far right column of the table. Without the confirmation check mark, the status of the page/section will remain incomplete.
  • Once you have completed data entry for all of the survey sections, the left navigation menu will show a "Complete" green status for each of the sections. The survey is now ready for Step Four: Signatory Submits Completed Survey.

Tips for Collecting and Entering Data

  • Utilize more than one HES editor to divide the workload for data collection and entry.
  • Complete the data entry in sections and refer to the left hand navigation menu (with colored status flags) to monitor progress and completion of the survey.
  • Save your data often (be mindful of the 40-minute timeout).
  • Complete the data collection process first then access the survey to enter the data.
  • To assist with data collection, PDFs for each data table can be printed by accessing the links below or through the help feature within each survey.
