Step Two: Assign HES Signatory and Editor Roles

Access to ASHA's Higher Education Data System (HES) is provided to academic programs through the assigned roles of Signatories and Editors. The Program Director determines who will serve as Signatory(ies) and Editor(s) for the program. We suggest that the Signatory verify the academic program profile and review the survey to determine which faculty and staff members could serve as Editors. For example, separate Editors may be designated by areas of study (Audiology, Speech-Language Pathology, Speech-Language and Hearing Science) or by degree program (undergraduate degree, master's degree, clinical doctoral degree, research doctoral degree).

Example: My Program's HES Team

A program's "HES Team" could consist of the following members:

  • HES Signatory(ies): Program Director(s) to verify the academic program profile, review the completed survey, and submit the completed instrument.
  • HES Editor(s): One or more faculty/staff members assigned to collect and enter data.
  • HES Salary Survey Signatory: A Program and/or Budget Director who has access to faculty salary data and may enter data, review, and submit the completed survey.
  • HES Salary Survey Editor: One or more faculty/staff members assigned to enter data into the salary survey but cannot view or edit salary fields.

Individuals may have multiple HES roles, and access rights associated with HES roles are cumulative. That is, an individual who holds more than one HES role will hold all access rights associated with each role.

HES Roles Defined

Signatory

  • A Signatory is a Program Director.
  • It is recommended that a Signatory complete Step One: Verify the Academic Program Profile.
  • A Signatory has access to view and edit all aspects of the HES survey except the salary fields and can assign a Salary Survey Editor to edit and view non-salary fields.
  • A Signatory who is also responsible for faculty salaries should assign him or herself the additional HES role of Salary Survey Signatory in order to view and edit salary fields, and submit the completed survey.
  • A Signatory who does not have oversight of faculty salaries should assign the role of Salary Survey Signatory to the appropriate campus personnel who have access to the program's faculty data, and therefore can enter that data into the HES system and submit the completed survey.
  • A Signatory may designate the Editor(s) to complete Step Three: Enter Survey Data.
  • A Signatory has access to view the HES instrument dashboard, which identifies sections of a survey that are completed, in process, or not yet started.
  • Only a Signatory may complete Step Four: Signatory Submits Completed Survey. Only the Salary Survey Signatory can submit the completed salary survey. 
  • A Signatory has access to confirmation reports that provide confirmation in PDF format of the completed HES instrument.
  • An institution may have two Signatories if both Audiology and Speech-Language Pathology programs exist at the same institution with a separate director for each program.
  • To designate Editors or report a change in a Signatory or Editor, send an e-mail to HES@asha.org with the HES role (Signatory, Editor, Salary Survey Signatory, Salary Survey Editor), the staff member's name, position, contact information, and e-mail address. Once the account has been created, the individual will receive a confirmation e-mail and instructions.

Editor

  • Editors are faculty or administrative staff designated by the Signatory to have access to enter data into the system.
  • An Editor has access rights to view the HES instrument dashboard which identifies sections of a survey that are completed, in process, or not yet started.
  • An Editor may enter and save data in the system.

Salary Survey Signatory

  • A Salary Survey Signatory is a Program Director with access to faculty salary data.
  • This is the only HES role that can view and edit the salary fields and submit the completed survey.
  • Salary Survey Signatory roles do not allow access to any other HES instruments.

Salary Survey Editor

  • The Salary Survey Editor is a role specifically assigned to view and enter data into non-salary fields for the CAPCSD Salary Survey only.
  • A Salary Survey Editor is assigned by the Program Director/Signatory.

Tips for Assigning HES Roles

A Signatory who has full oversight of an academic program including access to faculty salary data should assign him or herself the dual role of Signatory and Salary Survey Signatory.

A Signatory who has partial oversight of an academic program but does not have access to salary information should serve as the Signatory, but assign the Salary Survey Signatory role to appropriate campus personnel who have access to the program's faculty data, can enter the salary data, and submit the completed survey in the HES system.

A Signatory who has access to salary information but prefers to assign an administrative staff member to enter the data can review the salary data for completeness and accuracy prior to submitting the completed survey by also assigning him or herself as a Salary Survey Signatory. In this scenario, there would be two Salary Survey Signatories: the staff member entering the salary data and the Salary Survey Signatory reviewing the salary data.

A Signatory can delegate data entry assignments to other faculty/staff by designating those individuals as Editors while retaining the responsibility of Signatory for reviewing and submitting the completed survey.
