Administrative Assistant

Cluster/Team: Special Interest Divisions and International Liaison Programs

NON-EXEMPT

The purpose of this position is to provide administrative support to functions performed in the National Office, specifically the Special Interest Divisions and International Liaison Programs unit. The end result is to ensure that there is efficient organization, coordination, and implementation of work necessary to support the smooth functioning of the unit. 

Responsibilities

  1. Monitor and upload data transmission for unit's CE/self study publications
  2. Generate form letters and generate mailing lists/labels (including mail merge)
  3. Prepare presentations, letters, reports, charts, graphs, tables, certificates, and other documents, using various software
  4. Proof material
  5. Copy and fax 
  6. Coordinate and assemble meeting materials and mailings
  7. Schedule and support in house and off-site meetings (set up conference calls, record and transcribe minutes, order lunches, compile/distribute material and agendas, prepare badges, arrange travel for staff & volunteers)
  8. Update/enter information in AMS and generate reports
  9. Serve as Web liaison (post/update information)
  10. Serve as site administrator for Special Interest Divisions team site on the intranet (create lists, post/update information)
  11. Set up filing systems and maintain records
  12. Responds to information and email requests and gather readily available data
  13. Sort and distribute mail
  14. Track spending and generate check requests
  15. Pack materials for shipment and order supplies

Qualifications

Knowledge typically acquired through:

  • AA or BA Degree and 2-4 years of related experience

Scope and depth of technical skills/knowledge:

  • Proven database management
  • Advanced word processing proficiency; Word preferred 
  • Proficient with desktop publishing and preparing and/or posting information to a Web site
  • Intermediate spreadsheet skills; Excel preferred
  • Demonstrated knowledge of presentation software including Power Point, Web site templates, wizards, and clipart, etc.
  • Demonstrated ability to assist all staff on program applications (i.e., Word, Excel, PowerPoint and Outlook, etc.)
  • Demonstrated ability to improve systems, select appropriate application, design and add creativity to generate required reports
  • Excellent typing, proofreading, spelling, and grammar skills
  • Experience using Microsoft SharePoint a plus

  • Demonstrated ability to work on multiple tasks simultaneously
  • Demonstrated ability to organize and prioritize work and meet deadlines

Salary:   $37,710 - $41,900
