Poster Session Information For Presenters
Poster Session Format (90 minutes)
Poster presentations are an excellent mechanism to facilitate the rapid communication of scientific ideas. Poster presentations should visually guide viewers through the basics of the study displayed on the poster board while the presenter focuses on explanation and clarification of the key elements of the work and answers viewer questions. The poster presentation format is less formal and more interactive than an oral seminar because it provides the opportunity for viewers to engage in discussion and to have one-on-one interactions with both fellow viewers and the presenter. As a result, poster sessions offer the potential for new collaborations to develop among colleagues.
Though posters must be displayed for the entire day, poster presenters are only required to be present at their poster board during the assigned time of their poster presentation. This is the only time during which participants can earn ASHA CEUs.
Poster Hall Location and Schedule
Poster sessions will take place on Thursday, Friday, and Saturday at various times throughout each day. All poster sessions will take place in West Hall C at the Orange County Convention Center. Posters are displayed for the entire day, although presenters are only required to be present at their board during their assigned presentation time.
Set Up and Removal Times
Posters must be hung in advance of the scheduled session day and remain in place all day, even though presenters are only required to be present at their board during their assigned presentation time. All poster boards must be cleared in preparation for the next day, so presenters must remove their posters no later than 30 minutes after the conclusion of the last poster session of the day.

ASHA is not responsible for posters left on boards for more than 30 minutes after the last poster session concluded.
Poster Board Specifications
The poster board surface is approximately 4' high x 8' wide and boards are made of soft fabric with aluminum frames. Presentation materials may be attached using pushpins or Velcro. Each board will have pushpins and Velcro available for presenters to secure their poster. There will be no internet access, AV equipment or electrical outlets available in the Poster Hall.
Suggested Materials & Tips for Poster Sessions
It is recommended that poster presenters use thin, lightweight poster paper for their poster. Heavier paper or cardboard may be difficult to keep in position on the board. Additional poster presentation tips are available.
Poster Printing Service & Shipping Information
Poster presenters may opt to take advantage of the poster printing service to assist in the preparation of their poster for display at the ASHA Convention. Use the poster printing service to have your poster shipped directly to the Orange County Convention Center so it will be ready and awaiting pick up when you arrive.
If you do not wish to use the poster printing service, you are responsible for personally transporting your poster to the convention center or mailing your poster to yourself at the hotel where you will be staying in Orlando. Do not ship your materials directly to the convention center as ASHA cannot and will not receive, store, or hold items for presenters or attendees and shipments to individuals are likely to be lost or discarded.
Conflict of Interest Disclosures and Call for Papers Agreement
For consideration at an ASHA event, anyone presenting or listed as an author for a presentation is required to complete a disclosure indicating any financial or non-financial relationship related to the content of the session. All presenters must read, understand, and agree to adhere to the principles, guidelines, and procedures outlined in the Call for Papers Agreement and the Conflict of Interest Disclosure Policy. Presenters are also expected to follow the general expectations for sessions offered at the ASHA Convention.
This requirement from ASHA's Continuing Education Board took effect in 2012. Designed to promote transparency in the design, development, and presentation of courses offered for ASHA CEUs, the requirement aligns ASHA with current practices among other professions, particularly in the continuing medical education arena.
Poster presenters should begin their presentation with a verbal disclosure statement and include a similar written statement within their visual presentation. Every year, we receive numerous requests from eager attendees seeking detailed information from presenters. To meet the educational needs of attendees, we encourage poster presenters to upload three (3) pages of advance material by October 15, which may include a functional outline of the presentation, a list of references or links related to the poster presentation content, or other relevant material that will be helpful to attendees.
We will be sending an e-mail with instructions and an upload link no later than September 12 to remind presenters to upload your advance three (3) page handout. The preferred format for this handout is PDF.
As a presenter of a session offered for ASHA CEUs, you may claim credit for your own session, earning the same amount of credit as participants. For presenters of posters, this equates to 15 minutes of credit.
