CEA Tutorial Section 9: Deadlines, Participant Appeals, Five-Year Review

This section summarizes important information about the appeals process, and your Provider status.

What deadlines do I need to know about in order to submit CE forms on time?

There are deadlines associated with the submission of ASHA CE forms, including: registration, reporting, roster correction, and adding additional offerings. The sheet also includes a timeline of what you can expect to receive from ASHA CE as confirmation of receipt of your documents.

How does ASHA CE support Provider adherence to the CE Board Requirements?

When your organization has difficulty meeting ASHA Continuing Education Board (CEB) Requirements or when you have questions about satisfying the Requirements, you should reach out to your Provider Manager or Accounts Manager (Provider Management Team) for assistance. Your Provider Management Team will contact you if they identify an issue with your registration or reporting.  Organizations must have a conversation with their Provider Management Team to assess and respond to the following issues: 

  • Missed Initial Course Registration Deadline: The 15- or 30-day course registration deadline is missed (course must be complete and compliant, including the brand block, course information indicating the instructional level and ASHA CEU amount and disclosures).
  • Missed Additional Course Offering Deadline: The 3-day deadline for registering an additional offering is missed.
  • Late Reporting: Reporting is received after the 45-day deadline.
  • Inaccurate Reporting: Initial reporting was incorrect (includes adding participants after the initial reporting, changing the ASHA CEU amounts for participants, or removing individuals who were reported incorrectly by the provider).
  • Late Roster Correction: Correcting CE staff error after the 45-day roster correction deadline has passed.
  • Non-compliant Course: Course promotional materials do not include disclosure statements, the course information (the instructional level and ASHA CEU amount), or the Brand Block are missing, Learning Outcomes are incorrect or missing. 
  • Other Non-compliance: There is repeated failure to meet CEB Requirements, despite additional training and ASHA CE support.

What do I do if a participant contacts me about missing ASHA CEUs on their transcript?

If the participant never submitted a participant form to request ASHA CEUs for the course, please direct them to the Participant Appeal Online Form. If they did request ASHA CEUs and their name was omitted from the final roster, you will need to contact your Accounts Manager about filing a late roster correction.

ASHA Continuing Education does not accept requests from participants asking that ASHA CEUs be granted for a course with an end date more than 12 months ago.

Does our "approved Provider" status ever expire?

ASHA CE Providers are approved to offer ASHA CEU courses for a 5-year period. During the fifth year, a review is conducted by ASHA CE to determine the level of a Provider's ongoing compliance with CEB requirements. The number of noncompliance issues, Action Plans, and complaints compared with the number of course offerings and participants concerning each Provider are reviewed for the 5-year period. There is a fee associated with this review based on your organization's level of compliance during the preceding 5 years.

Providers undergoing a 5-year review are notified in March of the fifth year of accreditation. In late summer/early fall of that year, Providers receive a letter detailing the degree to which the organization met the CEB’s Requirements and an invoice for the 5-year review fee. The 5-year review fee is in addition to the CE Provider annual fee for the following year.

The 5-year review is also an opportunity for providers to give feedback to ASHA CE about requirements and processes. You will receive a link to a provider feedback form with your 5-year review information. We welcome feedback at any time—simply contact your Provider Manager.

Note: If your organizational structure has changed, or if no activities have been registered for ASHA CEUs for several years, you may have to submit a new Provider application.

What if we want to discontinue our Provider status?

You may voluntarily withdraw your provider status at any time. Please let us know in writing. You would have to reapply if you decide at a future date that you would like to once again become an ASHA Approved CE Provider.
